Terms & Conditions for the Southern Hemp Expo

SOUTHERN HEMP EXPO TERMS AND CONDITIONS

GENERAL EXHIBITOR TERMS:

The Fairgrounds Nashville maintains a no smoking/vaping policy for its facilities for all events. The Fairgrounds Nashville is a smoke-free environment. Smoking is only permitted outside in designated areas.

Please be advised that smoking marijuana in public is prohibited. This includes all areas inside and outside of The Fairgrounds Nashville. Violators may be prosecuted to the full extent of the law for any violation.

No dogs, cats or other pets, except “Quality of Life Assistance Animals”, as defined by the Americans with Disabilities Act of 2001, shall be permitted on the Grounds during the Show. Exhibitors will not be allowed to chain their pets outside of their vehicle or camper while working.

Advertising and event promotion will occur when your sponsorship or exhibitor booth is 100% paid in full.

Tennessee law prohibits any person or organization from bringing alcoholic beverages onto a licensed premise.

It is the sole responsibility of all commercial exhibitors to hold a Special Event Sales Tax license from the THE STATE OF TENNESSEE.

All vendors selling or sampling products containing CBD must be REGISTERED WITH THE TENNESSEE DEPARTMENT OF HEALTH. No sampling of D-8 products will be allowed. Samples must be 2 oz. or less.

Southern Hemp Expo AND ITS AFFILIATES will not be liable for damage or loss to an exhibitor’s property through theft, re or loss through accident of any other cause.

Exhibitor is responsible for obtaining his or her own insurance.

Exhibitors assume all risk incidental to participation in all activities, loss or damage to property and release management, its employees and agents against any claims.

Exhibitor waives, releases all claims against Southern Hemp Expo and Colorado Hemp Company associated in any way with the Southern Hemp Expo, and agrees to hold it harmless for any alleged causes of action arising therefrom.

In purchasing this Sponsor or Exhibitor Booth and in consideration for being admitted to the Southern Hemp Expo, the holder consents to being recorded (by audio, visual and/or other means) for exhibition and exploitation by any means in all media now known or hereafter devised worldwide in perpetuity.

We reserve the right to remove from The Fairgrounds Nashville any person who in our sole and absolute discretion is behaving or threatening to behave in a manner which we reasonably consider to be disruptive of the Southern Hemp Expo.

Southern Hemp Expo has the right to refuse space and/or revoke the registration of anyone who in its sole discretion it deems does not adhere to the terms set forth in this agreement without notice as may be necessary.

Any dispute arising out of this event shall be subject to arbitration, and Applicant waives any rights to a Court of Law or Jury in the state of Colorado.

DECORATING:

Decorations, signs, banners and similar materials may not be taped, nailed, tacked, stapled, glued or otherwise fastened to ceilings, doors, walls, glass, columns or painted surfaces. Duct tape is prohibited and only Gaffer’s tape is approved for the convention center.

ELECTRIC:

In order to provide the most efficient service for exhibitors at The Fairgrounds Nashville, we require that our General Contractor takes orders for electrical needs directly from Exhibitors. The General Contractor is responsible for processing electrical orders on behalf of Southern Hemp Expo and Exhibitors, but The Fairgrounds Nashville is the electrical contractor for the event.

Proper grounding of equipment is necessary, therefore only 3 wire grounding extension cords will be allowed. There can be no extension cords running through any pedestrian areas. The General Contractor will deliver power to the booth. Exhibitors are responsible for furnishing all necessary electrical cords to distribute power to desired location within the booth.

FORCE MAJEURE:

Show Management shall not be liable for delay or failure of performance or fulfillment of this Agreement caused by an act of God; action by any governmental or quasi-governmental entity; fire, flood, public health emergency or other disaster; public enemy; insurrection; riot; explosion; embargo; terrorist attacks; strikes whether legal or illegal; labor or material shortage; work slowdown; transportation interruption of any kind; authority of law; any Show building being destroyed or substantially damaged; or any other cause beyond the control of Show Management (“Force Majeure Event”).

BOOTH CANCELLATION POLICY:

Booth cancellations must be received in writing at least 60 days prior to the event and are subject to a 50% penalty. Written booth cancellations received under the 60 days leading up to the event are non-refundable.

All written booth cancellation notices should state the reason for cancellation and be sent to Southern Hemp Expo Producer, Morris Beegle at mo@cohempco.com. Refunds will be fulfilled within 30 days of written cancellation notification by company check.

Southern Hemp Expo is specifically targeted to hemp-specific companies. Medical or recreational marijuana companies will be strictly reviewed for content and all companies applying will be approved or denied access to exhibit at Southern Hemp Expo. Southern Hemp Expo reserves the right to deny participation for companies un-related to the hemp industry for any reason.

PARKING:

All parking (overnight, self, valet, day guest) is billed at the prevailing rates. Self-parking fees do not include in/out privileges for day guests.

TICKET SALES ARE FINAL:

All attendee ticket purchases are final and there are no refunds on tickets. Tickets are transferable.  Attendees assume all risk incidental to participation in all activities, loss or damage to property and release management, its employees and agents against any claims.

In purchasing an attendee ticket and in consideration for being admitted to the Southern Hemp Expo, the holder consents to being recorded (by audio, visual and/or other means) for exhibition and exploitation by any means in all media now known or hereafter devised worldwide in perpetuity.

We reserve the right to remove from The Fairgrounds Nashville for any person who in our sole and absolute discretion is behaving or threatening to behave in a manner which we reasonably consider to be disruptive of the Expo. Use of cannabis or vaping is strictly prohibited on site. Absolutely no solicitation, sales of products outside of exhibitor booths or apparel billboards will be permitted and will be cause for removal from the property.

VIDEO/PHOTOGRAPH RELEASE:

WAFBA, LLC, dba, Southern Hemp Expo (The Producer) is producing a live event and an audio-visual production for educational, marketing, and promotional purposes containing scenes, shots, events and/or interviews in which I may perform, participate, am portrayed, or appear recognizably.

For good and valuable consideration, the receipt and sufficiency of which is hereby acknowledged, I hereby authorize The Producer, their affiliates, licensees, assignee, and authorized agents to photograph, record or otherwise reproduce and depict my name, voice and visual likeness, and to exhibit, distribute, transmit and/or otherwise exploit any and all such reproductions containing my voice and/or appearance, altered as The Producer may see fit, in any and all media now or hereafter known. I hereby grant a royalty free license to The Producer for use of the content captured from the Southern Hemp Expo event for the entire world in perpetuity for and all the permissions stated above.

I hereby release The Producer, their affiliates, licensee, assignee, and authorized agents from any claims that may arise regarding the use of my name, voice and/or visual likeness, including, without limitation, any claims of rights of publicity, invasion of privacy, defamation, infringement of moral rights, or copyright infringement.

AUTHORIZATION:

This Release sets forth the entire agreement between the parties, and supersedes any prior agreements or understandings, oral or written. This Release is governed by the laws of the State of Tennessee, without regard to principles of conflict of laws.

I have read, understand, and agree to the cancellation policy, terms and conditions and liabilities listed above.

I authorize WAFBA, LLC to charge the amount specified within the said purchase to the designated credit card. Southern Hemp Expo and Colorado Hemp Company are trade names of WAFBA, LLC.
